PoshAI (“PoshAI,” “we,” “us,” or “our”) provides AI-powered telephone reception and related business communication services. This Privacy Policy applies to our website, our services, and calls handled through the services. A customer using PoshAI for its business is the controller of its callers’ information; we generally process that information on the customer’s instructions.
1. Information we collect
Information you provide
- Account and contact information, such as names, email addresses, business details, and login information.
- Billing information. Payment card details are collected and processed by our payment provider; we receive transaction and subscription records but do not store full card numbers.
- Business content used to configure an agent, including services, hours, FAQs, routing rules, and calendar availability.
- Messages and other information you send to sales or support.
Call and service information
- Caller and recipient phone numbers, call direction, timestamps, duration, routing information, and call outcomes.
- Audio, transcripts, summaries, messages, appointment details, and actions taken during a call, depending on the customer’s configuration.
- Technical logs, device and browser data, IP address, and diagnostic information needed to secure and operate the service.
Call notice: Call recording and transcription laws differ by location. Our customers are responsible for providing legally required notices and obtaining consent before using call recording or transcription features.
2. How we use information
We use information to provide and improve the service; answer and route calls; create transcripts and summaries; schedule appointments; perform requested integrations; authenticate accounts; process payments; provide support; prevent fraud and abuse; monitor reliability; comply with law; and communicate about the service. We do not sell personal information or use call content for third-party advertising.
3. Legal bases
Where applicable law requires a legal basis, we process information to perform our contract, to pursue legitimate interests such as operating and securing the service, with consent where requested, and to meet legal obligations. When we handle callers’ information for a customer, the customer determines the relevant legal basis.
4. How we share information
We may share information with service providers that support hosting, telecommunications, speech and AI processing, analytics, customer support, scheduling, communications, and payments. These providers may process information only for the services they provide to us. We may also disclose information when required by law, to protect rights and safety, in connection with a corporate transaction, or at a customer’s direction. We do not sell or rent personal information.
5. Retention
We retain account and business information while an account is active and for a reasonable period afterward for legal, security, and accounting needs. Call records and content are retained according to the customer’s configuration, contractual requirements, and our backup cycle. Customers may request deletion, subject to legal and technical limitations. We minimize retention where practical and do not store raw call audio by default.
6. Security
We use administrative, technical, and organizational safeguards designed to protect information, including access controls, encrypted network transport, monitoring, and restricted production access. No system is completely secure, and we cannot guarantee absolute security.
7. International processing
We and our providers may process information in countries other than where you live. Where required, we use recognized safeguards for international transfers, such as contractual protections.
8. Your choices and rights
Depending on your location, you may have rights to access, correct, delete, restrict, object to, or receive a copy of your information, and to withdraw consent. To make a request, email support@poshai.com. We may need to verify your identity. If your information was collected through one of our customers, contact that business first; we will assist them as required.
9. Cookies and website analytics
Our public website is designed to work without advertising cookies. We may use essential storage needed for security or site operation and privacy-conscious, aggregate analytics if enabled. We will provide appropriate notice or choice before introducing non-essential cookies.
10. Children
The service is intended for businesses and is not directed to children under 16. We do not knowingly collect personal information directly from children through the website.
